How Sofia works
The words Sofia uses, defined once: organization, establishment, connected account, post, time slot and campaign.
Sofia has a small vocabulary that the rest of this guide, the API and support assume you know. This page defines it once.

Everything you manage lives in an establishment: brand profile, networks, media library, posts and campaigns. Establishments are grouped under an organization, which holds the subscription and its seats. The “Switch establishment” selector in the menu lists them under the “Organization” heading and shows your role in each.
The owner manages the team, the establishment and the subscription; a member creates, schedules and publishes. You join a team by invitation, see Team.
Connected account
A connected account is a social network account linked to Sofia: an Instagram professional account, a Facebook Page, a LinkedIn profile or page. You authorize it once, through the network’s official flow, without ever giving your password.
An account is disconnected whenever you want; Sofia then neither publishes to nor tracks that account. A network can also be “Paused”: it is temporarily closed in Sofia, and your scheduled posts wait.
Establishment
If you manage several businesses, or those of several clients, create one establishment per business. Each has its own brand, networks and posts, and the selector in the menu switches between them: the calendar, the media library and the results then show the chosen establishment. See Establishments and team.
Post and targets
A post is a piece of content that goes out on one or more of your accounts. The composer opens one card per network: each network you aim at is a target, with its own text, media, format and time.
The post has an overall status. When it went out on some networks and not on others, it is “Partial failure”; its report details each network. Within a target, the format decides the shape: a thread on X, a carousel, a LinkedIn article. See Formats.
Global or per-network content
Sofia writes one text per network, in your tone. Editing the text of one network does not touch the other cards: Sofia then offers “Carry your changes over”, to copy them as is to the other networks or adapt them to each. See One text per network.
Network settings
Each network has its own settings, on its card in the composer: the format, and for TikTok the visibility (“Who sees it”), comments, duets and stitches, commercial content and the sending mode. Some are required: a format that “Needs an image” does not go out without one.
Tag
A tag is a label you put on a post, for example by theme or by offer. You create it in the settings, Tags section, where you can also rename it, give it a color or delete it. It then serves to filter the calendar, the list of posts and the results.
Campaign
A campaign is a series of posts around a single goal, such as a launch or an event. Sofia proposes the plan, with the cadence and the time slots, then writes each post, network by network, following your control mode. See Campaigns.
Signature
The signature is a short line added to your posts: the Sofia signature, a custom signature depending on your plan, or none. The owner chooses it in the settings, with a preview.
Time slot
Each account has its usual slots, the times when it usually publishes. They serve three purposes: the times Sofia offers first when you schedule, the “next usual slot” where posts from the “No date” tray land, and the time of a campaign’s posts. It is a guide, not a constraint: you can always publish at another time. See Usual slots.
Post status
| Status | Meaning |
|---|---|
| Draft | It does not go out |
| To review | It is waiting for your approval |
| Scheduled | It is waiting for its time. This is the normal state |
| Sending | It is going out right now |
| Published | It is live |
| Draft sent | It is waiting in TikTok for you to finish it in the app |
| Failed | A network rejected it, with the reason it gives |
| Partial failure | It went out on some networks, not all |
Automatic mode
The control mode decides who has the last word. In “Automatic”, Sofia publishes without waiting; in “Needs approval”, each plan and each post waits for your approval before going out. You set it at the “Control” step and in the settings, and each campaign has its own “Control level”. See Automatic mode.
